BuzzTracker (“BuzzTracker”, “we”, “us”) provides reputation and review intelligence software to businesses. This policy explains what personal information we collect, why, how we use and protect it, and the rights you have under the Protection of Personal Information Act, 2013 (POPIA). It applies to this website and to the BuzzTracker application at app.buzztracker.co.za.
Who we are
BuzzTracker is operated from Cape Town, South Africa. For any privacy question, or to exercise your rights, contact us at support@buzztracker.co.za.
Information we collect
- Account information — your name, email address, business name, and login credentials when you sign up.
- Billing information — details needed to process your subscription. Card payments are handled by our payment provider; we do not store full card numbers.
- Connected review data — when you connect a review source (such as Google Business Profile, Hellopeter, TripAdvisor, Facebook, Fresha or Trustpilot), we retrieve the reviews, ratings and related public content for the business locations you manage. This may include personal information contained in reviews (for example a reviewer’s name or the content of their review).
- Usage and technical data — information about how you use the product, and technical details such as your IP address, browser and device, collected to keep the service secure and working.
- Communications — messages you send us, such as support requests.
How we use your information
- To provide the service — aggregating your reviews, scoring sentiment, detecting topics, and drafting replies.
- To send you product alerts you have configured (for example a new 1-star review or a drop in your rating).
- To manage your account, process payments, and provide support.
- To secure, maintain, and improve the product.
- To comply with our legal obligations.
AI processing
We use automated and AI systems to analyse review text — scoring sentiment and emotion, grouping topics, and generating suggested replies. Suggested replies are drafts for you to review and edit; nothing is published on your behalf without your action. Some AI processing may be carried out by trusted third-party providers acting as our operators under contract.
Sharing your information
We do not sell your personal information. We share it only with:
- Operators (sub-processors) who help us run the service — such as cloud hosting, payment processing, email delivery, and AI processing — under agreements that require them to protect it.
- The review platforms you connect, to the extent needed to retrieve your data and post replies you approve.
- Authorities or others where required by law, or to protect our rights, users, or the public.
Cross-border transfers
Some of our operators may process information outside South Africa. Where that happens, we take steps to ensure your information receives a level of protection consistent with POPIA.
Retention
We keep personal information only as long as needed to provide the service and to meet legal, accounting or reporting requirements. When you close your account, we delete or de-identify your data within a reasonable period, except where we are required to retain it.
Security
We use appropriate technical and organisational measures — including encryption in transit and access controls — to protect personal information against loss, misuse and unauthorised access. No system is perfectly secure, but we work to keep your data safe and to notify you and the Information Regulator if a breach occurs as required by law.
Your rights under POPIA
You have the right to:
- Ask what personal information we hold about you and request access to it.
- Ask us to correct or delete information that is inaccurate, irrelevant, or held unlawfully.
- Object to the processing of your personal information in certain circumstances.
- Lodge a complaint with the Information Regulator (South Africa).
